Planning for and Implementing Shared Activities
These resources, tools and examples support the planning and implementation of activities that cross systems and programs, and focus on systemic change. Areas of shared activities work include coordination of resources and referrals and professional development.
Planning and Implementing
- Collective Impact Working Group Tool – This tool gives an overview of the concept of Working Groups as a strategy to support shared activities. Under the collective impact approach, these are sub-groups reporting to the Steering Committee that help choose and implement strategies, engage community members, and track progress towards goals; this tool outlines their functions and offers guidance on using this approach to planning and implementing shared activities.
- Collaborative Action Networks Instructions – This tool outlines the work of Collaborative Action Networks, which are a group of community members formed to work together collectively on impacting the same outcome/indicator, developed under the Strive model. This tool walks through the process of using Collaborative Action Networks to determine and prioritize the outcome/indicator, using disaggregated student/school level data in the work, and developing strategies to continuously improve practices over time.
- Spectrum of Prevention – This resource describes a framework for a more comprehensive understanding of prevention work that includes six levels for strategy development which supports shared activities at the community level.
- Collaboration Multiplier - This tool guides organizations through a collaborative discussion to identify activities that accomplish a common goal, delineate each partner’s perspective and potential contributions, and leverage expertise and resources. (Introduction document and Blank Multiplier)
- Mobilize: Individual Strategic Objectives – This template focuses on the contributions of individual staff members to different initiatives, including listing key activities and where their work is interdependent on others.
- Initiative Action Plan Template – This action plan template assists members in thinking about each initiative the collaboration supports separately. For each initiative, this tool guides in considering the context for the initiative, assigning staff roles, and estimating anticipated outcomes, milestones, resources required, and interdependencies with other organizations.
- Subcommittee Templates – These tools are samples from a local community collaboration of how they organize their subcommittee approach to activities. The tools offer examples of: outlining the charge and formation of the subcommittee; a brief descriptor of the work of the subcommittee for recruiting community participation; and, the reporting tool required of the subcommittee.
- Tool for Organizational Self-Assessment of Racial Equity – This tool supports organizations within the collaboration to gather a holistic snapshot of their practices and policies as they relate to racial equity. Self-assessment through a tool such as this supports the next stage of building a plan to strengthen and improve areas identified.
- Racial Equity Tool – This tool offers questions for a racial equity analysis at the program, policy and procedure level, which focuses on incorporating best practices around racial equity in to these areas of work.
- Racial Equity Toolkit to Assess Policies, Initiatives, Programs and Budget Issues - This toolkit lays out a process and a set of questions to guide the development, implementation and evaluation of policies, initiatives, programs, and budget issues to address the impacts on racial equity. Use of the toolkit is a multi-step process, which is implemented across stakeholders with different racial perspectives.
- Community Equity Self Assessment - This tool is designed to help collaboratives test their ideas and solutions within an equity frame, focusing on intentional efforts to close the opportunity and access gaps that exist by income, race and ethnicity, language, and culture must be a part of any initiative.
- Advancing Equity Choice Points Questions - A tool for groups to consider the effects that a proposed action is likely to have on a group of people, depending on their racial and/or linguistic group.
Coordination of Resources and Referrals
- Building Effective Referral and Follow Up Systems – This resource outlines six key components to help guide communities when selecting and adapting a referral and follow-up method that best fits the community served.
- Collaboration Resource/Referral Schematic – This tool graphically depicts the role that a lead local collaboration plays in ensuring the outreach, screening, referral and monitoring of access for families of young children within their community.
- Referral Brainstorming Worksheet – This tools guides collaboration participation through brainstorming of available referral options in the community.
- Referral Form for Use with Families – This referral form offers a sample of a shared intake and referral to be completed by staff in working to determine resource needs of families.
- Early Childhood Care and Education Recruitment/Referral Form – These tools include English and Spanish versions of a universal form created in a 2-county partnership screen and enroll children across multiple early learning programs. The goal of the form is to identify the best options for the child and family.
- Professional Development Assessment – This assessment tool offers a sample of a comprehensive approach to gaining an understanding of the type of training needed by a wide range of professionals and sectors serving young children and their families.
- Transfer Training to Practice Worksheet – This tool is a worksheet designed to be integrated at the end of a training to support participants in considering how they will move the content from knowledge to practice.
